Subject: Interview for [Role] at [Company name] Dear [First name], Thank you for applying for the [Role] role. We would like to invite you to an interview. When: [Date and time] Where: [Location or video link] The conversation will last about an hour. You will meet the hiring manager and one member of the team, and there will be time at the end for your questions. If that time does not work, reply with two or three slots that do and we will rearrange. If you need any adjustment to the process, tell us and we will arrange it. Best regards, [Your name] [Your designation] [Company name]
These are the messages that shape how an organisation is experienced, and the ones most often written in a hurry. Each template here is structured around what the recipient actually needs to know and do.
The rejection one is worth a moment. A candidate who has given several hours to a process deserves more than a two-line dismissal, and a good rejection is the cheapest employer-brand work there is.
Frequently asked questions
- How should a candidate rejection email be written?
- Promptly, personally enough to show the process was real, and without false comfort. Thank them for the specific time they gave, state the decision plainly, and say whether you would welcome a future application. Feedback is a gift where you can give it and should not be promised where you cannot.
- What should a welcome email before joining contain?
- The start date, where to go and who to ask for, what to bring or complete beforehand, and what the first day will look like. The most useful thing you can tell a new joiner is that nothing is expected of them in week one.
- How should a policy change be announced?
- What is changing, why, and what the reader has to do — in that order. The 'why' is the part most announcements skip, and the part that decides whether the change is accepted or resented.
