A promotion letter is a short document with three jobs: recording the new designation, the new reporting line, and the date it takes effect. Everything else belongs in a conversation.

Where compensation changes with the promotion, state it here rather than sending a separate appraisal letter — two documents for one event invites confusion about which applies.

Frequently asked questions

Does a promotion have to come with a salary increase?
Not as a matter of law, and promotions without one do happen — usually where the scope changes mid-cycle and compensation follows at the annual review. Say which it is, because silence is read as an oversight.
Should a promotion letter restate the full employment terms?
No. It should record what changes and state that everything else continues unchanged. Restating the whole contract invites an argument about what was altered by omission.
